Microsoft 365 Copilot: is it worth it for a small business?

Published:

Short answer: Microsoft 365 Copilot is worth it in a small business for users who write, summarise and analyse many documents, emails and meetings every week, not necessarily for everyone. Start with Copilot Chat, which is included at no extra cost in Microsoft 365 plans, and buy Copilot Business licences for a few users with a measurable goal.

What does Microsoft 365 Copilot do?

Microsoft 365 Copilot is an AI assistant inside Word, Excel, PowerPoint, Outlook and Teams that works on the business's emails, files and meetings. For example, it can draft a proposal from older documents, summarise a long email thread, produce minutes from a Teams meeting or explain what an Excel sheet shows. Microsoft also lists ready-made agents such as Researcher and Analyst.

What is the difference between Copilot Chat and Microsoft 365 Copilot?

Copilot Chat answers based on the web and is included at no extra cost in eligible Microsoft 365 plans. The paid Microsoft 365 Copilot licence also answers based on company data (email, files, meetings) and works inside Word, Excel, PowerPoint and Teams.

What is Microsoft 365 Copilot Business?

Microsoft 365 Copilot Business is the Copilot edition for small and medium businesses, launched on 1 December 2025 at a list price of 21 dollars per user per month with a 300-user limit. According to Microsoft, it delivers the same capabilities as the 30-dollar Microsoft 365 Copilot and is added to a Business Basic, Business Standard or Business Premium licence.

What should I do before buying Copilot?

Before buying Microsoft 365 Copilot, check who has access to which files, because Copilot sees whatever the user sees. Microsoft states that Copilot only surfaces organisational data to which the user has at least view permission. If a payroll folder is accidentally open to everyone, Copilot can use it in an answer to any employee.

  1. Clean up permissions in SharePoint, OneDrive and Teams: "everyone" sharing links, old groups, files of former employees.
  2. Turn on multi-factor authentication for everyone, so a stolen password does not also give access to the AI assistant.
  3. Pick 3 to 5 users with lots of written work for a pilot (our own practical advice).
  4. Decide before buying what you will measure: hours on proposals, email response time, meeting minutes.

Microsoft also states that prompts, responses and data Copilot accesses through Microsoft Graph are not used to train the foundation models.

How do I measure whether Copilot pays off?

Microsoft 365 Copilot pays off when the time a user saves each month is worth more than the licence. The simple calculation: divide the monthly licence cost by the cost of one hour of that user's work. The result is the hours they must save each month to break even. For most office employees it is one to two hours a month (our own practical estimate).

  • Choose Copilot if the user writes proposals, reports or many emails every day, or has many Teams meetings.
  • Stay with Copilot Chat if the user mainly needs general answers and help with texts that do not rely on company files.
  • Wait if file permissions are chaotic. Order first, AI second.

Frequently asked questions

How much does Copilot for business cost?

Microsoft 365 Copilot Business, for businesses with up to 300 users, has a list price of 21 dollars per user per month on an annual commitment. From 1 July to 31 December 2026 Microsoft offers it at 18 dollars for the first year. Microsoft 365 Copilot for larger organisations costs 30 dollars.

Is Copilot free in Microsoft 365?

Copilot Chat is included at no extra cost in eligible Microsoft 365 plans and answers based on the web. To answer based on company email, files and meetings and to work inside Word, Excel and Teams, a paid Microsoft 365 Copilot licence is needed.

Copilot Business vs Microsoft 365 Copilot: what is the difference?

According to Microsoft, Microsoft 365 Copilot Business delivers the same capabilities as Microsoft 365 Copilot. The difference is the price, 21 instead of 30 dollars, and the limit: Copilot Business is for organisations with up to 300 users on a Business Basic, Standard or Premium licence.

Can Copilot see files it should not?

Microsoft 365 Copilot only surfaces data the user has at least view permission for. But if a file is accidentally shared with the whole company, Copilot can use it. That is why permissions in SharePoint and OneDrive should be checked before switching it on.

Does every employee need Copilot?

No. The Microsoft 365 Copilot licence is assigned per user, so a small business can buy it only for those who write and analyse a lot. Everyone else continues with Copilot Chat, which is included at no extra cost in Microsoft 365.

Does Microsoft use my data for training?

According to Microsoft, prompts, responses and data that Microsoft 365 Copilot accesses through Microsoft Graph are not used to train the foundation language models, including those used by Copilot itself.
